Business French: meetings and formal letters
Working in French means chairing meetings, writing minutes and sending formal letters. Here are the phrases, the false friends that trip up English speakers, and the gérondif and dont.
By the end of this unit you can: run a meeting and write a formal letter.
1Mener une réunion: Chair a meeting from agenda to minutes.
2Carrière et gérondif: Talk about careers and say how or when things happen.
3Dont, lequel, auquel: Link ideas with dont, lequel, auquel and duquel.
4La lettre formelle: Write a formal letter, from subject line to signature.
5La réunion de lancement: Follow a project meeting and write the follow-up letter.
Grammar and usage, explained
The chair's script
French meetings run on set phrases. The chair opens with the agenda, gives people the floor, moves things along and closes. Learn these as blocks and you'll sound in control.
L'ordre du jour comporte trois points. There are three items on the agenda.
Je donne la parole à Monsieur Diallo.I'll hand over to Mr Diallo.
Passons au point suivant.Let's move on to the next item.
False friends at the office
Un agenda is your diary; the meeting agenda is l'ordre du jour. Un délai is the time you're given (or a delay); the deadline itself is l'échéance or la date limite. And éventuellement means « possibly », not « eventually ».
Nous avons un délai de deux semaines. We have two weeks to do it.
L'échéance est vendredi. The deadline is Friday.
The gérondif: en + -ant
Take the nous form of the present, drop -ons and add -ant: nous travaillons → en travaillant. The gérondif says how (by…) or when (while…) something happens, and its subject is always the subject of the main verb. Three irregulars: être → en étant, avoir → en ayant, savoir → en sachant.
Elle a trouvé ce poste en cherchant sur Internet. She found this job by searching online.
Je lis mes e-mails en prenant mon café.I read my emails while having my coffee.
On apprend en faisant des erreurs. You learn by making mistakes.
Tout en: two things at once
Put tout before en to stress that two actions happen at the same time, often with a touch of contrast, like « while still ». En attendant is a gérondif that has become a fixed phrase: « while waiting » or simply « in the meantime ».
Tout en travaillant à plein temps, elle prépare un master. While working full-time, she's studying for a master's.
En attendant, je vous envoie le dossier. In the meantime, I'll send you the file.
Dont stands for de + something
Use dont when the verb or expression is built with de: parler de, avoir besoin de, s'occuper de, être fier de. Dont also translates « whose ». Word order stays simple: dont + subject + verb.
J'ai besoin de ce document. → C'est le document dont j'ai besoin. That's the document I need.
Je vous ai parlé de ce collègue. → Voici le collègue dont je vous ai parlé.Here's the colleague I told you about.
une entreprise dont le siège est à Rioa company whose head office is in Rio
Lequel after a preposition
After a preposition, use lequel for things, agreeing in gender and number. With à it fuses: auquel, auxquels, auxquelles (but à laquelle). After a longer preposition ending in de (près de, à côté de, au cours de), it becomes duquel, desquels, desquelles (but de laquelle). For people, qui is usually preferred: la collègue avec qui je travaille.
Le logiciel avec lequel nous travaillons est dépassé.The software we work with is out of date.
La conférence à laquelle j'ai assisté était passionnante. The conference I attended was fascinating.
Le parc à côté duquel nous habitons est très calme. The park we live next to is very quiet.
The shape of a formal letter
Your details top left, the recipient's on the right, then place and date (Rio, le 3 novembre 2026), Objet :, and the greeting (Madame, Monsieur,). Then three short paragraphs: why you're writing, the details, what you expect. Cordialement is fine for emails, but a formal letter ends with a full closing formula.
Objet : demande de stageSubject: internship request
Madame, Monsieur,Dear Sir or Madam,
Set phrases, not translations
Formal French runs on fixed formulas, so don't translate from English. You don't « look forward »: you write dans l'attente de votre réponse. You don't « kindly find »: you write veuillez trouver ci-joint. In very official letters to an administration, you may even open with j'ai l'honneur de…
Veuillez trouver ci-joint mon curriculum vitae. Please find my CV attached.
J'ai l'honneur de solliciter un rendez-vous.I respectfully request an appointment.
